We may collect the following personal data when you interact with us:

  • Contact details: name, email address, phone number — when you book a call, contact us by email or use our contact form.
  • Business information: company name, industry, details about your business that you share during calls or email correspondence.
  • Usage data: pages visited, time spent on site, referral source, browser and device type — collected automatically via cookies and analytics tools (if enabled).
  • Communication data: content of emails, WhatsApp messages or other communications you send to us.

3. How We Use Your Data

We use your personal data to:

  • Respond to enquiries and provide quotes or proposals.

  • Send relevant follow-up communications about our services (where you have consented or we have a legitimate interest to do so).
  • Improve our website and services using anonymised analytics data.
  • Comply with legal and regulatory obligations.

4. Legal Basis for Processing

We process your personal data on the following legal bases under UK GDPR:

  • Contract: processing necessary to enter into or fulfil a contract with you.
  • Legitimate interests: responding to enquiries, improving our services and communicating with prospective clients about relevant services.
  • Consent: for marketing communications where we ask for your explicit consent.
  • Legal obligation: where we are required to process data to comply with UK law.

5. Cookies and Analytics

This website may use the following cookies and tracking tools:

  • Essential cookies: required for the website to function correctly (e.g. session management). No consent is required.
  • Analytics cookies (Google Analytics 4): used to understand how visitors use our site. These are only activated if we have implemented GA4 (see our cookie banner). You can opt out at any time.
  • Behaviour analytics (Microsoft Clarity): records anonymised session replays and heatmaps to help us improve UX. Only activated if implemented.

You can control cookies through your browser settings. Disabling analytics cookies will not affect your ability to use the site.

6. Third-Party Services

We use third-party services that may process your data:

  • Calendly / Cal.com: for booking discovery calls. Their own privacy policy applies.
  • Google Fonts: for typography — Google may log your IP address.
  • WhatsApp Business: if you contact us via WhatsApp, Meta's privacy policy applies.
  • Airtable: we may use Airtable as a CRM to store enquiry details.

We do not sell your personal data to any third party.

7. Data Retention

We retain your personal data only for as long as necessary for the purposes described in this policy:

  • Enquiry and contact data: up to 2 years from last contact.
  • Client data: 6 years from the end of the engagement (for legal and accounting purposes).
  • Analytics data: as per the retention settings of the analytics provider (typically 14 months for GA4).

8. Your Rights

Under UK GDPR, you have the right to:

  • Access: request a copy of the personal data we hold about you.
  • Rectification: ask us to correct inaccurate or incomplete data.
  • Erasure: request deletion of your data ("right to be forgotten") where there is no legal basis to retain it.
  • Restriction: ask us to restrict processing of your data in certain circumstances.
  • Portability: request your data in a machine-readable format.
  • Object: object to processing based on legitimate interests.
  • Withdraw consent: where processing is based on consent, you may withdraw it at any time.

To exercise any of these rights, email us at hello@nexagentx.com. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Data Security

We take reasonable technical and organisational measures to protect your personal data from unauthorised access, loss or disclosure. Our website is served over HTTPS. However, no internet transmission is completely secure, and we cannot guarantee absolute security.

10. International Transfers

Some third-party services we use (e.g. Google Analytics, Airtable) may transfer data outside the UK. Where this occurs, we ensure appropriate safeguards are in place in accordance with UK GDPR (e.g. UK Adequacy Regulations or Standard Contractual Clauses).

11. Children's Privacy

Our services are directed at businesses and are not intended for children under 18. We do not knowingly collect personal data from anyone under 18.

12. Changes to This Policy
